Paid Time Off (PTO)
Affinity Property Management believes that our employees are the key to what makes Affinity a great company. While work makes up a large portion of an employee’s life, we believe that a balance between work and home life is essential in maintaining quality performance and a fun atmosphere. We know that employees who achieve this balance by taking time off throughout the year are more productive.


Paid Time Off (PTO) is designed to provide paid time off to eligible employees for personal use. This can include illness, personal time, medical appointments, or vacation time. PTO must be scheduled
in advance and approved by your supervisor, except in cases of illness or emergency. Affinity Property Management provides PTO as one of the many ways in which it shows its appreciation for employees’ loyalty and service. This is a benefit that is given to you by Affinity as an employee of the company. All regular full-time employees of Affinity are eligible for 136 hours of PTO per calendar year, to be accumulated at a rate of 5.66 hours per pay period.


Employees who are employed by Affinity for five consecutive years are eligible for an additional 40 hours of PTO. Total to be accumulated of 176 hours at a rate of 7.33 hours per pay period beginning the first of the calendar year following the 5th employment anniversary. PTO should be approved and scheduled with your supervisor. If there is a scheduling conflict, preference will be given to the employee with the most seniority.


It is company policy that no property office is to be closed for more than three (3) consecutive days. Portfolio managers and/or property managers may deny a PTO Request if no coverage is found and/or should a PTO request cause a property’s leasing office to be closed for more than three (3) consecutive days. In rare circumstances or emergencies an exception might be made.
Part-time employees will accumulate PTO at the rate of 1 hour for every 30 hours worked not to exceed 56 hours of PTO for the employment year

 

Use and Scheduling of PTO
Employees are required to use available PTO when taking time off from work. PTO may be taken in increments of as low as one hour. Generally, you must give at least 30 days’ advance notice of PTO requests when 3 or more days are to be taken. PTO is subject to supervisory approval and property staffing needs.  When requesting PTO you may be asked to find coverage for scheduled time off requests. Unscheduled absences will be monitored. An employee will be counseled when the frequency of unscheduled absences adversely affects the operations of the department. The supervisor may request that the employee provide a statement from a health care provider concerning the justification for an unscheduled absence of 3 days or more.
When requesting PTO, it must be entered into ADP as a request and confirmed as approved from your manager. Managers and Maintenance Supervisors should also send an Outlook calendar
event to their Portfolio Manager. Affinity reserves the right to deny a PTO request if it will interfere with company operations or adversely affect coverage of job and staff requirements.
When scheduling conflicts arise, seniority will prevail.
An employee is required to use PTO hours according to their regularly scheduled workday. For example, if an employee works a six-hour day, they will request six hours of PTO when taking that day off. PTO is paid at the employee's regular time rate. PTO is not part of any overtime calculation. Employees may not borrow against their PTO banks; therefore, no advance leave will be granted.
We encourage you to use all your PTO throughout the year in which you earn it, but you may carry over up to 40 hours of accumulated PTO to the following calendar year. Any accumulated PTO in
excess of 40 hours that is not taken before January 20th will be forfeited. PTO will not accumulate while an employee is on leave of absence.

 

Payment upon Termination
Affinity Property Management pays accumulated unused PTO (which has not yet been forfeited) up to 80 hours only upon termination or resignation, after the completion of one or more years of continuous full-time employment. Employees who are terminated for gross misconduct (e.g. theft, embezzlement and other illegal activities or gross violations of company policies) will not be paid their accumulated PTO balance.
California employees will be paid out all accumulated unused PTO (which has not yet been forfeited) upon termination or resignation.

 

Gaps in Service
For purposes of holiday pay, PTO, and insurance, employees who leave our employ but return within a three-month period will be eligible to waive the 90-day from date of return waiting period for these benefits. Employees who are gone for less than one year will have prior years of service applied towards their accrual rates, as appropriate.
