Renewing Resident
Option 1: Resident Portal
Only primary residents will have the ability to select a renewal proposal. By directing the primary resident to their resident portal, we will expose them to the Affinity Resident Portal and create a smooth renewal process for the Affinity team and the resident.
Verify we have an email for the primary resident and that they have been invited to Rent Café.
Direct the primary resident to the Resident Portal link. Fun fact: Portal link can be saved as a favorite on the resident’s device for easy access in the future. Login using email and password.
Direct resident(s) to Lease (top menu) > Lease info
Select renewal option
Once an offer is selected, the resident will review and continue.
Resident will receive notification regarding lease generation
Option 2: Manual Renewal Option
Find the resident profile in Rent Café CRM. View Lease proposals.
Verify with the resident which option is best, click ‘select.’ Once selected, generate lease.
Generate Lease (completed in Rent Café CRM)
Once a renewal option is selected either via resident portal or manually, the manage lease button will appear in multiple places. Click manage lease and follow the step by step process. Ensure all lease information is accuracy before finalizing and sending/printing for resident signature.
Once lease is signed by all occupants, the lease will be ready to countersign.
Once countersign is completed, the resident’s renewal will move to ‘Scheduled Lease Renewals’ on the dashboard. If their lease is already expired the renewal will be flipped to effective within 25 hours of countersign. If the lease expires in the future it will stay in Scheduled Renewals until the lease expires and their new rate becomes effective.
Now you are all set ! Generate your lease for signature for all parties. What if a resident doesn't select a renewal offer? I'm sure you have completed all follow ups and reminders on the follow up schedule.
