Lease Renewals Step 3: Generating Renewal Offer Letters

Great! This means that you have generated your renewal offers, and they have been approved by your PM and Ownership.  Its time to generate the renewal offer letters for your residents.

 

Residential Correspondence: Renewal Offer Letters
Renewal Letters can be generated using Residential Correspondence. Use the left side menu Reports > Resident > Residential Correspondence.

 

Follow the steps below to create the letters:

1.Post Month = Enter in the current accounting period beginning post month.
2.Lease To = Lease expirations that were included in the Lease Proposal Batch
3.Document date is the desired date on the letter
4.Select renewal letters from both the Category and Report Type drop down menus.
5.Click on ‘Include All Lease Holders’

 

6.There are 3 steps with Generate Documents.
a. Click on Generate documents. Below each resident will be listed. View the letter link for a resident to ensure accuracy.
b. Click on ‘Attach Documents’ and ‘Show on Portal’ then click on ‘Generate Documents’ again. This will attach the letter to the residents’ voyager and Resident Portal account.
c. Click on ‘Merge Document In Single PDF’ then ‘Generate Documents’. This will uncheck the two options before and create one pdf file to print out all the letters.
NOTE: To print a letter for just one resident, search and select the individual from the ‘Resident’ field.

                                          

 

Excellent!  You have now made the proposal available on the resident portal for your residents to view.  Now its time to Post and Mail the physical letters.
